Partially crediting an invoice

How to create a credit note that covers only some lines or part of the quantity on a sent invoice.

Need to credit the entire invoice in one go? Use the Credit function described in the article How to create and send an invoice.

If you only need to credit some of the lines, or a lower quantity than originally invoiced, use New invoice like this instead. This gives you full control over what gets credited.

How to create a credit note for part of an invoice

  1. Go to Invoicing → Invoices and find the invoice you want to partially credit.

  2. Click the Options button to the right of the invoice (or open the invoice and click Options inside it), then select New invoice like this.

  3. A new invoice draft opens with all the same lines as the original. Make the following adjustments:

    • Delete the lines that should not be credited – remove any products the customer is keeping.

    • Adjust the quantity on lines that should be partially credited – for example, if 5 out of 10 items should be credited, enter 5.

  4. Put a minus sign in front of the quantity on the lines being credited – e.g. –5.
    Important: The minus sign must go in front of the quantity, not in front of the gross price or net price. Putting a minus on the price leaves the quantity positive and results in an incorrect total.

  5. Click the Preview tab at the top to double-check. The amount should be negative and the document should display the text CREDIT NOTE.

  6. Send the credit note to the customer by choosing a delivery method and clicking Send invoice, or click Save draft to finish later.

Common mistake: minus sign in the wrong field

The most common mistake is placing the minus sign in front of the gross price instead of the quantity. This makes the price appear negative while the quantity stays positive – and the total becomes incorrect. Always make sure the minus sign is in the quantity field.

What happens to the original invoice?

The credit note is a separate document that offsets part of the original claim. The original invoice will still appear in the invoice list and keeps its status until it is fully paid or fully credited.
