Low storage warning – what should I do?

How to find out what is using your storage, and how to get more capacity.

Receiving a warning about low storage? It means the client has used up the storage quota included with the subscription. Nothing has been done wrong — attachments and files accumulate over time, and vouchers with large image files fill up the fastest.

See what is taking up space

Go to Administration and select File storage in the left-hand menu. Here you can see an overview of how much of the storage quota has been used.

Click Storage usage details to see a breakdown by category:

  • Projects – files stored on a project

  • Vouchers – attachments linked to vouchers

  • Thumbnails – automatically generated previews of documents and images

  • Voucher log – files stored in the voucher log (inbox)

  • Users – files in each user's «My files» area

  • Tasks – attachments added to tasks

  • Department – files in shared department areas

  • Other – uncategorised files (may be older files from before the file module was launched)

What usually takes up the most space?

The most common culprit is large image attachments in the voucher log — typically receipts or invoice copies photographed in high resolution. A single such image can take up as much space as hundreds of ordinary PDF files.

Unfortunately, it is not currently possible to delete attachments from posted vouchers. This is a feature being worked on. In the meantime, you will need to either accept the current usage or purchase more storage capacity.

Files stored under My files (the Users category) can be deleted by each user directly in the Files module.

Purchase more storage capacity

Go to Administration → File storage. Under Get more storage capacity, choose a storage package:

  • +25 GB – NOK 49 per month

  • +50 GB – NOK 98 per month

  • +100 GB – NOK 196 per month

  • +250 GB – NOK 490 per month

Click Add storage capacity on the package you want. The capacity is activated immediately.

Is «My files» shared with everyone?

No — files in My files (the Files module) are individual and only visible to the person who uploaded them. To share files with colleagues, use Department: create a department and link files to it, so everyone with access to that department can see them. When should you contact us?

  • You want to delete attachments from posted vouchers — this is not possible today, but feel free to send us a message in chat and we can look into the case.

  • Storage is full and you need help understanding what is taking up space — contact us in chat and include the client name.
