What are tags?
Tags are coloured labels you attach to content in Catacloud to categorise and organise your work – a bit like sticky notes. You decide the name, colour and which modules each tag applies to. They appear in lists and overviews across the system, but are not linked to the accounting itself. A tag does not affect voucher posting, VAT returns or other accounting reports.
Where can tags be used?
Tags can be applied in the following places in Catacloud:
Customers – TAGS column in the customer overview and on tasks linked to the customer
Suppliers – TAGS column in the supplier overview
Projects – project tags appear in the project list and in the right margin inside the project
Tasks – TAGS column in the task list inside projects and in the overview (My tasks)
Vouchers – tags on individual vouchers in the accounting overview
Products – TAGS column in the product register
Users – TAGS column in the member list under Administration
Files – tags on files in the file archive
Folders – tags on folders in the file archive
When you create a tag you choose which of these modules it should be available in.
Managing tags centrally
All tags are created and managed in one place: Administration → Tags.
Here you can see an overview of all tags with name, colour, which modules they are available in, who created them and when. You can edit or delete existing tags, and create new ones.
How to create a new tag
Go to Administration → Tags.
Click + Create tag.
Choose a colour – this makes tags easy to recognise in lists.
Enter a name – short, descriptive labels work well, such as Q1, DO NOT PAY, pending or important.
Tick which modules the tag should be available in (Customers, Suppliers, Projects, Tasks, Vouchers, Products, Users, Files, Folders).
Click Create tag.
You can change the name, colour or available modules at any time by clicking the edit icon in the tag list.
How to apply a tag to content
The process is the same wherever you are in the system:
In a list (e.g. the customer overview or project list): Click the tag icon in the TAGS column on the row you want to label, and select or search for the desired tag.
In an edit form (e.g. Edit task): Find the Tags field, type the name of the tag, and select it from the list.
New tags can also be created directly in the search field where you add tags – type a name that doesn't exist yet and confirm.
Tips
Use colours consistently across your team – for example red for urgent, yellow for pending and green for completed.
The same tag can be used across all modules, making it easy to gather related content from different parts of the system.
In the project list and task list you can filter and sort by tags.
Use the "All tag types" filter at the top of Administration → Tags to filter the list by module.
Tags are not visible to customers or suppliers – they are for internal use only.
