Small moves that make your day in Catacloud faster. Here are some of our favourites.
Work in two tabs at once
Need to see two things at once – for example a voucher in one tab and a report in another? Duplicate the tab in your browser instead of clicking back and forth.
Right-click the tab at the top of your browser and select Duplicate. You then get a new tab in exactly the same place in Catacloud, and can navigate further in it without losing what you were working on.
Search quickly with Ctrl+S
Press Ctrl+S (or Cmd+S on Mac) to open the search field at the top of Catacloud. Here you can search across customers, suppliers, vouchers and invoices – without navigating to the right module first. Handy when you quickly want to look up a customer or a voucher number.
Calculate right in the amount field
You don't need a calculator on the side. In amount fields you can type in a calculation, and Catacloud works it out for you when you move on from the field. Type for example 1000+250 or 499*3, and the field fills in the total.
Handy when an invoice needs to be split across several lines, or when you need to add up several amounts.
Get more space on screen
Two simple moves give you a larger working area:
Minimise the left-hand menu. Click the arrow at the bottom left (
<) to collapse the menu. This gives you a wider view of lists and vouchers. Click again to expand the menu back.Close the attachment preview. When working with vouchers, you can close the preview of the attachment (the panel on the right) to get more space. Open it again when you need to see the document.
Paste vouchers directly from the clipboard
Have you taken a screenshot of an invoice, or copied a PDF from another programme? In the document inbox you can paste files directly with Ctrl+V (Cmd+V on Mac) – without having to save the file and upload it manually. Practical when you receive invoices by email and want to process them quickly.
Switch the view in the document inbox
In the document inbox you can choose how the vouchers are displayed. At the bottom right, next to View, you switch between three modes: list, grid and image. List gives a good overview of many vouchers, while image/grid view makes it easier to recognise the documents. (The same view selector is also available on attachments inside a voucher.)
Merge attachments on a posted voucher
Does a voucher have several attachments that really belong together? You can merge them into one – even on vouchers that have already been posted. Open the voucher and go to the Attachments tab. There you can upload and find files, and merge the attachments into a single document.
Important: You cannot delete an attachment from a posted voucher, even if it was uploaded by mistake. So be careful about which attachments you add to posted vouchers. If you're unsure, contact us before uploading.
Check if the customer has opened the invoice
Wondering whether an invoice has actually reached the customer? In the invoice list you can click the icon next to the delivery method (e.g. "Sent by email") to open the Delivery log. There you can see exactly when the invoice was sent, to which address, and whether it has been opened – as well as when any payment reminders were sent.
Filter the invoice list by period
In the invoice list you can use the All periods button at the top to filter by a specific month or quarter. Practical when you want to see all invoices from a specific period without searching through the entire list.
Create tasks – on customers and suppliers
You can create tasks and assign them to yourself or another user who has access. Tasks can be linked to both customers and suppliers, making it easy to remember follow-ups – for example "missing attachment" or "check amount".
Here's how:
Open a customer (or supplier) and go to the Information tab.
Scroll to the Tasks section and click Create task.
Write the task, set a deadline if needed, and choose who it should be assigned to under Assignee.
See who has paid with KID/OCR
If you use KID on your invoices, you can keep track of payments in the KID/OCR payment log. Here you see payments that have come in via OCR – and which ones are linked to an invoice via KID, and which are not.
Here's how to find it:
Open the main menu (the grid icon at the top left) and select Administration.
Under Module settings, select Bank.
Go to the KID/OCR payment log tab.
Path: Administration → Bank → KID/OCR payment log
The log shows the columns Payment date, Amount, KID, Invoice, Voucher, Customer, Status, Bank account, Archive ref. and Form number. Payments with KID are linked to the correct invoice/voucher, while payments without KID are shown without a link – so you can quickly see who has paid with KID and who hasn't. You can filter by period, search the log and import an OCR file.
See what's been received in the document inbox (document inbox log)
Wondering whether a voucher actually came in, or who uploaded it? The Document inbox log shows everything received in the document inbox – whether it arrived by email or was uploaded manually.
Here's how to find it:
Open the main menu (the grid icon at the top left) and select Administration.
Under Module settings, select Accounting.
Go to the Document inbox log tab.
Path: Administration → Accounting → Document inbox log
The log shows Date, Source (email or manual), Status, User/email (who/which address it came from), File size, File type and which Voucher it became. You can filter by source and status, search, and download the original file again.
More small tips
Match invoice against payment to remove the item from open items – this keeps the subledger tidy as you go.
Hide corrected vouchers if the subledger and voucher overview get cluttered. See the separate guide: "How to show or hide corrected vouchers".
Choose language (Norwegian or English) under Settings → Display.
Send vouchers by email straight into the document inbox – each company has its own email address for this (shown at the top of the document inbox).
New invoice like this – creates a new invoice with all fields pre-filled. Useful for sending a corrected version without starting from scratch.
Export accounting reports to Excel or PDF directly from the report view – useful for auditors and documentation.
Share files with colleagues and your accountant via the Files module – no need to send attachments back and forth by email.
