What is the project module?
The project module lets you create and manage projects – and link vouchers, hours and costs directly to each project. You get project accounting that shows income and costs per project, without having to run separate reports.
Typical use cases include consultancy engagements, sporting events, construction projects and other activities where you want to separate finances and time use per assignment.
Activating the project module
The project module is not pre-installed on new companies. Here's how to activate it:
Click the grid icon in the top left and select Modules and integrations.
Select Modules in the left menu.
Find Projects (category: Productivity) and click Install.
After installation you will find the module under Projects in the left menu – scroll down to the PRODUCTIVITY section.
Note: The project module costs extra to activate. You can find prices at catacloud.no.
Creating a new project
Click + New project in the top left. Fill in the fields under General:
Icon / number / title – choose an icon, give the project a number (suggested automatically) and a name.
Customer – link to an existing customer, or leave it as an internal project.
Department – link the project to a department if desired.
Priority – Low, Medium or High.
Access – default is "Visible to the entire company".
Status – default is "Not started". Options: Not started, In progress, On hold, Awaiting, Completed.
Start and Deadline – optional dates.
Description – free text with formatting.
Under the Setup tab you can choose the default view for tasks (List, Board or Timeline) and enable support for multiple boards and backlog.
Under Members you add team members and assign a project manager.
Click Create project when you are done.
Tabs in a project
Inside a project you will find the following tabs:
Board – Kanban board for tasks. Create your own lists and add tasks with deadlines and responsible persons. Requires "Enable multiple project boards" to be turned on under Setup.
Timeline (beta) – visual schedule for the project's tasks and deadlines.
Backlog – list view of all tasks. Click + Create task to add tasks with tags, deadline and responsible person.
Files – upload and share documents related to the project.
Time tracking – view and register hours directly on the project. Shows date, person, time, number of hours and description per week.
Project accounting – accounting figures for the project (see below).
The right-hand panel shows Project members, Project tags, Project status with a progress bar, and Work statistics – total hours, number of sessions and last activity.
Project accounting
For vouchers to appear in the project accounting, you must link the voucher to the project via the dimension field during voucher entry. Open the voucher, find the Project (or Dimension) field on the posting line and select the correct project.
Under Project accounting you can choose between two views:
Result – summary with operating result, financial result and total result per period.
Specification – detailed transaction list of all vouchers linked to the project.
The report can be exported and filtered by period using the navigation arrows at the top.
Comparing accounts with a budget
If you have set up a budget for the company, you can compare the project's actual figures against the budget directly in the project accounting. Here's how:
Go to Project accounting → Result.
Click Report settings.
Under "Compare with", select Budget.
Select the desired budget from the dropdown (e.g. "Operating budget 2026").
Close the panel – the report now shows two columns: actual figures for the selected period and budgeted figures.
You can also show variance in NOK or percentage, switch between month, term, quarter and year, and change the grouping level (top level, second level, third level or accounts).
Prerequisite: The budget must be created under the Budget module and have the project as a dimension for the figures to appear here. A budget without a project dimension will have nothing to show against in the project accounting.
Closing a project
When a project is finished, change its status to Completed:
Open the project and click Edit at the top.
Change Status to Completed.
Click Save changes.
The project remains available in the list. The default filter in the project list is set to "Active" – switch to All statuses to see completed projects.
Note: Status is set per financial year. If you have closed a project as Completed for one year, it may reappear in a new financial year. Set the status to Completed again for the new year.
Frequently asked questions
I can't find the project when searching on a voucher
The search in the project field requires you to start with the first characters of the project name or number. The search term "survey" will not find "Market survey" – type "Mar" or the project number instead.
I need to change the project on a posted voucher
When you change the project dimension on a posted voucher, the voucher is reversed and re-posted with the correct project. This is correct and necessary to ensure accurate bookkeeping. Contact your accountant if you are unsure whether the correction is needed.
