Bank reconciliation: how it works and what to do when it stops

Step-by-step guide to bank reconciliation in Catacloud: matching transactions, approving periods, and troubleshooting differences, missing transactions and blocked approvals.

Bank reconciliation is the check that ensures what the bank has registered matches what is posted in Catacloud. You do it once per month, per bank account.

How to navigate to bank reconciliation

Go to Bank → Bank reconciliation in the left menu.

At the top of the page you select:

  • Bank account – click the account name to switch accounts if the client has several.

  • Period – use the arrows to navigate between months, or click the month label to select directly.

Matching transactions

In the left column of the transaction list you see a checkbox per bank transaction. Check it to mark that the transaction has been identified and posted correctly.

The difference indicator at the top (+/- 0) shows the difference between the bank balance and the accounting balance. The goal is for it to be exactly 0 when you approve.

Check Show reconciled entries to see transactions you have already ticked off – for example to undo a tick.

Approving the reconciliation

When the difference is 0 and all transactions are matched, click Approve reconciliation at the top right. The period is locked and you can move on to the next month.

Bank reconciliations must be approved in chronological order. You cannot approve June without May being approved first.

Importing bank transactions manually

If transactions are missing and you don't have bank integration, you can upload a bank file directly. Click Upload bank file to import transactions at the bottom of the transaction list. You can export the file from your online banking.

The file can be in CSV, Excel or TXT format (e.g. from DNB). Note that not all banks are supported – check that the file is exported in one of these formats from your online bank.

You can also reconcile the bank with a PDF via the voucher inbox by selecting voucher type Bank statement → correct period, year and month → correct account. You must fill in the Closing balance to be able to save and post the Bank statement.

Troubleshooting

Transactions missing

Transactions are synchronised automatically overnight (02:00–05:00). If transactions from the previous business day are still missing after 06:00, it is usually because a bank consent has expired. See the article Bank consent: create, delete and renew.

Difference even though all entries are matched

The difference is shown between the bank balance (retrieved from the bank) and the accounting balance (account 1920 in the chart of accounts). These can differ even if all rows are ticked, because:

  • A payment is posted in Catacloud on a different date than it was debited by the bank. This typically happens with payments after the bank's cut-off time, typically from one month to another, or on weekends and public holidays – the payment is posted on day 1 but debited by the bank on day 2. Solution: create a manual voucher that accrues the amount to the correct date.

  • A posting has been made against the wrong account (not 1920). Check that all bank movements are posted against the bank account in the chart of accounts.

  • An earlier period has not been approved and the opening balance is incorrect. Go back and approve the periods in chronological order.

Matched entries reopen

This can happen if a synchronisation with the bank retrieves the transactions again after you matched them. The tick belongs to the local transaction row – if Catacloud replaces the row with a new one (e.g. during re-synchronisation), the tick disappears. Contact us in the chat with the client name, account and period if this happens repeatedly.

Month end: transaction spans two periods

Catacloud does not currently support automatic matching of bank entries across month-end. Temporary solution: create a manual interim voucher that "parks" the amount in December, and reverse it in January. Contact your accountant if you need guidance on the procedure.

When should you contact us?
